There are two different types of documents in this project. They are Inhabitants, and Soldiers and Sailors. To select the record type, follow these steps: 1. Click in the Record Type field to see the down arrow. 2. Click the down arrow to display the options. 3. Click the correct record type.
Select Other as the record type if your batch contains a document other than Inhabitants or Soldiers and Sailors. Index as much information as possible into the corresponding fields. For fields that do not have any information to be indexed, press CTRL+B to mark required fields (fields marked with asterisks) as blank or press Tab to skip fields that are not required.

| Locality | Locality
Type the name of the locality that was written on the top of the page. Within this field, and after the name of the locality, add any recorded designation, such as Town, Village, or City.
If the name of the locality has been misspelled, spell it correctly. If it has been abbreviated, and you can determine what the abbreviation stands for, type the complete name instead of the abbreviation. Use the lookup list for assistance. The lookup list does not include every possibility. If the intended locality cannot be determined, type it as it was written.
The locality may differ between the left and right pages on an image. Watch the data entry screen carefully and be sure to change the locality, if necessary.
If the locality was not recorded on the page containing the record you are indexing or contains a variation of unknown, press Ctrl+B to mark this field as blank. Do not try to make a judgment from a previous or succeeding page as to what locality may have been intended.

No line numbers are defined on the images. A field has been established to provide a reference line number for each record as it is indexed.
Enter 1 into this field for the first record of an image.
Press Tab for this field for all succeeding records. The field will automatically populate with the next number. |

Type the Line Number that was recorded on each line.
If a line number was not recorded, repeat the line number just above it.

| Given Name | Given Name
The names were usually recorded with the given names first. If the name was written with an initial, be sure to include the initial with the given name. Do not type a period after the initial. Do not include titles or terms with the given name, such as: Sr, Jr, Baby, Infant, Mrs, etc.
Do not spell out abbreviations such as Geo or Wm. Type them just as they were recorded.
If the given name is obscured by the book binding, type what is visible. Use the lookup list and compare handwriting on the rest of the image to help decipher the letters that are visible.
Since the number of letters obscured by the binding is not definitely known, use an asterisk (*) in place of the letter(s) that are not visible.
If no given name is listed, press Ctrl+B to mark this field as blank.

The names were usually recorded with the surname last.
Do not include titles or terms with the surname such as: Sr, Jr, Baby, Infant, Mrs, etc.
If no surname is listed, press Ctrl+B to mark this field as blank.

Type the rank that was written on the record under the column Rank.
If it has been abbreviated, use the lookup list by clicking the down arrow at the right side of the rank field. Select the rank from the lookup list. If the intended rank cannot be found in the list, type it as written on the record.
If the Rank was not recorded, press Ctrl+B to mark this field as blank.

Type the State or Vessel that was written on the record.
If the state has been misspelled, spell it correctly. If it has been abbreviated, and you can determine what the abbreviation stands for, type the complete name instead of the abbreviation. Use the lookup list for assistance. The lookup list does not include vessels. If the intended state cannot be determined, type it as it was written on the record.
Include designations such as "inf" or "cav" if they are listed in the field.
If the State or Vessel was not recorded, press Ctrl+B to mark this field as blank.
