Record Fields and Indexing Instructions
| Line number | Line Number
The line number may or may not be located on both the right and left sides of each page.
Type the line number that is printed on each line.
If the Line Number is missing from both sides of the page, press Ctrl+B to mark this field blank.

| Dwelling number | Dwelling Number
The dwelling number is usually written on the General Schedule only once for the first name listed in a household. However, it needs to be repeated for each household member.
If the enumerator began recording a family at the bottom of one census page and continued at the top of the next, you should be able to find the dwelling number from the previous image by doing the following:
- On the toolbar, click View.
- Click Show Previous Image.
- The previous image will be titled “Previous Image” and will be the image you see on the right side of the double screen.
- Scroll to find the dwelling number.
- Type the dwelling number for each person in the household.
- Return to normal view by clicking View and then Show Previous Image.
If the Dwelling Number column was left blank and is not on the previous image, press Ctrl+B to mark it as blank.

| Family number | Family Number
The family number is usually written on the General Schedule only once for the first name listed of that family. However, it needs to be repeated for each family member.
If the enumerator began recording a family at the bottom of one census page and continued at the top of the next, you should be able to find the family number from the previous image by doing the following:
- On the toolbar, click View.
- Click Show Previous Image.
- The previous image will be titled “Previous Image” and will be the image you see on the right side of the double screen.
- Scroll to find the family number.
- Type the family number for each person in the family.

If the Family Number column was left blank and is not on the previous image, press Ctrl+B to mark it as blank.

| Given Name | Given Name
The names were usually recorded with the given names first. If the name was written with an initial, be sure to include the initial with the given name. Do not type a period after the initial. Do not include titles or terms with the given name, such as: Sr, Jr, Baby, Infant, Mrs, etc.
There will be catholic nuns included. If you cannot determine if a name is a given name or a surname, extract the name in the Given Name field.
If the Given Name field was left blank, press Ctrl+B to mark it as blank.

| Surname | Surname
The names were usually recorded with surname last. The surname may have been written only once for the first member of the family. However, it needs to be repeated for each family member.
If the enumerator began recording a family at the bottom of one census page and continued at the top of the next, you should be able to find the surname from the previous image by doing the following:
- On the toolbar, click View.
- Click Show Previous Image.
- The previous image will be titled “Previous Image” and will be the image you see on the right side of the double screen.
- Scroll to find the family surname.
- Type the surname for each person in the household.
- Return to normal view by clicking View and then Show Previous Image.
Do not include titles or terms with the surname such as: Sr, Jr, Baby, Infant, Mrs, etc.
There will be catholic nuns included. If you cannot determine if a name is a given name or a surname, extract the name in the Given Name field.
If the Surname column was left blank and is not on the previous image, press Ctrl+B to mark it as blank.

| Age | Age
Type the age with these explanations following the numbers: y for years and m for months.
When a fraction is given for the age, such as: 3/12, change the fraction into months, such as: 3m.
If the Age field was left blank, press Ctrl+B to mark it as blank.

| Sex | Sex
Type M for male or F for female. Even if the information in the Given Name field appears to contradict what is in the Sex field, index what is written. Type a U for unknown if the gender is not given and cannot be determined by the given name.

| Color | Color
Type the color that is written on the records.
If the Color column was left blank or contains a variations of unknown, press Tab to skip this field.
Example: B |
| State or Territory | State or Territory
Type the birthplace in this field if it is a state or territory. If it is a country, leave this field blank and type the country in the Country field. Do not type a county, town, or city in this field.
If the birthplace has been misspelled, spell it correctly. If it has been abbreviated, and you can determine what the abbreviation stands for, type the complete name instead of the abbreviation. Use the lookup list for assistance. The lookup list does not include every possibility. If the place of birth cannot be determined, type it as it was written.
If there are ditto marks, type the state or territory from the previous record.
If the Place of Birth column was left blank, contains a variation of unknown, or contains a country, press Tab to skip this field.

Type the birthplace in this field if it is a country. If it is a state or territory, leave this field blank and type the state or territory in the State or Territory field. Do not type a county, town, or city in this field.
If the birthplace has been misspelled, spell it correctly. If it has been abbreviated, and you can determine what the abbreviation stands for, type the complete name instead of the abbreviation.
