Page NumberPage Number

Type the page number as it was written.

Each image may contain two pages with unique page numbers.

If the Page Number was not recorded, press Ctrl+B to mark this field as blank.

Line Number

Line Number

Type the line number that is printed on each line.

Each image will contain one or two pages.  

Please note: The first page usually begins with line number 51, while the second page usually begins with line number 1.

If the Line Number field was not recorded, press Ctrl+B to mark it as blank.

Family Number

Family Number

The family number is usually written only once for the head of household. However, it needs to be repeated for each household member. The household could include boarders, servants, or any others living in the household.

The head of household with the assigned family number may not be written on the first image of your batch. If this is the case, you should be able to find the family number from the previous image by doing the following:

  • On the toolbar, click View.
  • Click Show Previous Image.
  • The previous image will be titled “Previous Image” and will be the image you see on the right side of the double screen.
  • Type the family number for each person in the household.
  • Return to normal view by clicking View and then Show Previous Image.

If the Family Number column was left blank and is not on the previous image, press Ctrl+B to mark this field as blank.

Surname

Surname

The names were usually recorded with surname first. The surname may have been written only once for the first member of the family. However, it needs to be repeated for each family member.

If the enumerator began recording a family at the bottom of one census page and continued at the top of the next, you should be able to find the surname from the previous image by doing the following:

  • On the toolbar, click View.
  • Click Show Previous Image.
  • The previous image will be titled “Previous Image” and will be the image you see on the right side of the double screen.
  • Scroll to find the family surname.
  • Type the surname for each person in the household.
  • Return to normal view by clicking View and then Show Previous Image.

Do not include titles or terms with the surname, such as: Sr, Jr, Baby, Infant, Mrs, etc.

There will be catholic nuns included. If you cannot determine if a name is a given name or a surname, extract the name in the Given Name field.

If the Surname column was left blank and is not on the previous image, press Ctrl+B to mark this field as blank.

Given Name

The names were usually recorded with the given names last. If the name was written with an initial, be sure to include the initial with the given name. Do not type a period after the initial. Do not include titles or terms with the given name, such as: Sr, Jr, Baby, Infant, Mrs, etc.

There will be catholic nuns included. If you cannot determine if a name is a given name or a surname, extract the name in the Given Name field.

If the Given Name field was left blank, press Ctrl+B to mark this field as blank.

Type the relationship as it was written.

If the Relationship column was left blank, press Ctrl+B to mark this field as blank.

Color or Race

Type the color or race as it was written.

If the Color or Race column was left blank or contains a variation of unknown, press Ctrl+B to mark this field as blank.

Sex

Sex

Type M for male or F for female. 

If the Given Name field and the Relationship field both contradict what is in the Sex field, then determine the correct Sex using the information given. For example, if the given name is Rebecca and the relationship is Wife, but the sex is M, type F in the Sex field. Only make this determination if both the given name and the relationship are an obvious contradiction to the sex.   

If the Sex column was left blank or contains something other than M or F, and the sex cannot be determined using the given name and relationship, press Ctrl+B to mark this field as blank.

Age

Type the age with these explanations following the numbers: y for years, m for months, and d for days.

When a fraction is given for the age, such as: 6/365 or 3/12, change the fraction into days or months, such as: 6d or 3m.

If the Age column was left blank, press Ctrl+B to mark this field as blank.

Marital Status

Type S for single, M for married, W for widowed and D for divorced.

If the Marital Status column was left blank, press Ctrl+B to mark this field as blank.

Place of Birth

Type the place of birth that was written on the record.

If the birthplace has been misspelled, spell it correctly. If it has been abbreviated, and you can determine what the abbreviation stands for, type the complete name instead of the abbreviation. Use the lookup list for assistance. The lookup list does not include every possibility. If the place of birth cannot be determined, type it as it was written.

If there are ditto marks, type the place of birth from the previous record.

If the Place of Birth column was left blank or contains a variation of unknown, press Ctrl+B to mark this field as blank.

The place of birth for both parents is found in column 9.

If only one place is written on the record, index it for both parents. If there are two separate places written on the record, index the first place for the first parent and index the second place for the second parent.

If the birthplace has been misspelled, spell it correctly. If it has been abbreviated, and you can determine what the abbreviation stands for, type the complete name instead of the abbreviation. Use the lookup list for assistance. The lookup list does not include every possibility. If the place of birth cannot be determined, type it as it was written.
